Terms & Conditions
Last updated: September 2024. These terms govern all travel arrangements made with Explorify LLC.
1. About Explorify LLC
Explorify LLC ("Explorify," "we," "us," "our") is a limited liability company incorporated in Delaware, USA (HQ: 54 State Street, Suite 804, #17448, Albany, NY 12207). We arrange bespoke tailor-made travel experiences worldwide. By making an enquiry or booking with us, you agree to be bound by these Terms and Conditions.
2. Making a Booking
2.1 All bookings are confirmed only upon receipt of a signed booking form (or written confirmation via email) and the required deposit payment.
2.2 The person making the booking ("Lead Traveler") accepts these Terms on behalf of all members of the travelling party and is responsible for ensuring all travelers are aware of these Terms.
2.3 We reserve the right to decline any booking at our sole discretion without providing reasons.
2.4 Booking confirmations will be issued in writing. Please review your confirmation carefully and notify us immediately of any errors.
3. Pricing & Payment
3.1 All prices are quoted in US Dollars (USD) unless otherwise stated and are per person based on the configuration specified in your itinerary.
3.2 A non-refundable deposit of 25% of the total booking value is required upon confirmation. The remaining balance is due no later than 60 days before the departure date.
3.3 For bookings made within 60 days of departure, the full amount is payable upon confirmation.
3.4 Prices may be subject to change due to currency fluctuations, supplier changes, or government-imposed levies. We will notify you of any price changes before your booking is confirmed.
3.5 Accepted payment methods include bank transfer and major credit cards. A processing fee may apply to card payments.
4. Cancellation Policy
If you cancel a confirmed booking, the following charges apply (calculated from the date written cancellation is received):

Certain elements of your itinerary (e.g., non-refundable flights, specific lodges) may carry additional cancellation charges. These will be disclosed at the time of booking.
5. Changes to Your Booking
5.1 We will do our best to accommodate any changes you request after booking. An amendment fee of $75 per change may apply, in addition to any supplier charges.
5.2 Changes requested within 30 days of departure may be treated as cancellation and re-booking at our discretion.
6. Changes by Explorify
6.1 Occasionally we may need to make changes to confirmed bookings due to circumstances beyond our control. We will notify you as soon as possible and offer a comparable alternative, a future credit, or a full refund of affected components.
6.2 We reserve the right to cancel a booking in exceptional circumstances (e.g., force majeure, minimum group size not met). In such cases, we will issue a full refund.
7. Travel Insurance
Comprehensive travel insurance is strongly recommended and may be required for certain itineraries. Your policy should cover, as a minimum: medical expenses, medical evacuation, trip cancellation and curtailment, personal liability, and loss of luggage. We are not responsible for any costs or losses arising from inadequate insurance coverage.
8. Passports, Visas & Health Requirements
It is your sole responsibility to ensure you hold a valid passport, all required visas, and comply with all health requirements (including vaccinations) for your destinations. Explorify is not liable for any costs, losses, or denied entry arising from failure to meet these requirements.
9. Our Responsibility
9.1 Explorify acts as a travel organizer and may engage third-party suppliers (airlines, hotels, ground operators) to deliver your itinerary. We exercise reasonable care in selecting these suppliers but are not liable for their acts or omissions.
9.2 Our total liability to you in connection with any booking shall not exceed the total amount paid for that booking, except in cases of death, personal injury, or fraudulent misrepresentation caused by our negligence.
9.3 We are not responsible for any loss, damage, or expense caused by events beyond our reasonable control (see Force Majeure clause).
10. Force Majeure
Neither party shall be liable for failure to perform obligations under these Terms if such failure results from circumstances beyond reasonable control, including but not limited to: natural disasters, pandemics, government actions, war, civil unrest, terrorism, strikes, or severe weather. We will endeavour to minimize disruption and will notify you as soon as possible.
11. Complaints
If you experience any problem during your journey, please report it to our local representative and to our team at [email protected] as soon as possible so we have the opportunity to resolve it. Formal complaints submitted more than 28 days after return from travel may not be considered.
12. Intellectual Property
All content on this website, including text, images, itineraries, and graphics, is the intellectual property of Explorify LLC and may not be reproduced, distributed, or used without prior written consent.
13. Governing Law
These Terms and Conditions shall be governed by and construed in accordance with the laws of the State of New York, United States, without regard to its conflict of law provisions. Any disputes arising shall be subject to the exclusive jurisdiction of the courts of New York.
